The heavy vehicle use tax is one of the few filings with a deadline that does not move and a document at the end of it you actually need. Work through it in this order.

  1. Establish the month of first use

    The tax period runs 1 July to 30 June. Your deadline is the last day of the month following the month the vehicle was first used on public highways in that period — for a July first use, 31 August.

  2. Get an EIN, and get it early

    You cannot file with a Social Security number. A new EIN also takes time to become usable for this filing, so do not leave it to the last week.

  3. Work out the taxable gross weight

    Unloaded weight of the vehicle fully equipped, plus trailers, plus the maximum load customarily carried. The category you land in sets the tax.

  4. File — electronically if you have 25 or more vehicles

    E-filing is mandatory at 25 or more and available below that. It is also how you get the stamped Schedule 1 back fastest.

  5. Keep the stamped Schedule 1

    That is the proof of payment state registration asks for. Losing it costs you the plate, not just the paperwork.
